VoLo Foundation, a Florida-based private family foundation, is building a team of dynamic and committed individuals who will seize opportunities to grow professionally while contributing to VoLo Foundation’s greater impact in line with its 2022-2025 Strategy. The newly designed post of Climate Action Program Associate (CAPA) is expected to provide administrative and program-related support to the Foundation as it focuses its grant program on the most impactful areas of climate action. This position is an opportunity to apply existing knowledge and skills as well as hone new ones in the fields of climate change and sustainability.

The primary responsibilities of the Program Associate are to:

  • Work as part of the Foundation’s Programs Team to ensure that grantmaking contributes directly to the Foundation’s vision and mission, and that it conforms to existing policies and procedures.
  • Serve as a point of contact for grantees and grant seekers.
  • Provide administrative support to the Programs Team with data management, organizing the Foundation’s quarterly meetings for grant-making and grant monitoring, inputting, and crafting messaging in support of the Foundation’s Communications Team, and carrying out research as needed.

Primary Responsibilities

Provide grants administration support.

  • Invite grantees to the Foundation’s grantee portal and provide technical assistance to support the successful completion and submission of grant proposals and reports.
  • Track grants’ key milestones, including application, contracting, reporting and other deliverables, and help manage changes to programs on an as-needed basis.
  • Ensure team members and grantees are aware of upcoming deadlines.
  • Keep program files and contacts in the Foundation’s database on Blackbaud.
  • Regularly update the program’s grantmaking budget.
  • Conduct research on prospective partners to inform the due diligence process as well as the program’s grantmaking, including: (1) organizations’ mission, staff, board members, and accomplishments; (2) organizations’ financial statements; and (3) reports, products, and press to assess common ground between the Foundation’s and the grantee’s theories of change.
  • Work with team members to draft program and finance-related materials for grant decision-making.

Support strategy development, learning, and evaluation.

  • Communicate the program’s strategy and grantmaking guidelines to external stakeholders.
  • Communicate the Foundation’s history, values, and programs at external meetings.
  • Support strategic planning activities, including collating historical grants data and other information and contributing to strategies and presentations.
  • Track current research, policy changes, and trends in the areas of energy, climate, and philanthropy by reviewing news and professional publications and by attending related conferences, meetings, and other events.
  • Provide regular feedback to supervisor and colleagues both informally and as a part of the annual review process.

Foundation-wide Responsibilities

  • Pitch-in across the Foundation, as important deadlines or events approach.
  • Participate in Foundation-wide committees; diversity, equity, and inclusion work; and internal culture-building.
  • Participate in Foundation training sessions.
  • Help the Foundation promote and maintain environmentally sustainable office practices.


  • Undergraduate or recent graduate degree in a relevant field, e.g. Environmental Sciences/Engineering, Economics, Public Policy/Management/Planning or similar
  • 2-3 years relevant work experience in the areas of Climate Change and Sustainability
  • Keen interest in climate and decarbonization policy and practice.
  • Prior experience with a philanthropy or other grant-making institution is a plus.
  • Initiative, continuous-learning attitude, team player
  • Bilingual in Spanish-English or working knowledge of Spanish is a plus.
  • Strong organizational skills, with ability to manage and prioritize a large volume of tasks and deadlines with attention to detail.
  • Strong oral and written communications skills: eager to work with people of different backgrounds, internally and externally, to achieve shared goals.
  • Reliable, resourceful, proactive, and motivated to find creative solutions to improve efficiency and effectiveness.
  • Familiarity with widely used software (MSOffice, Blackbaud, Salesforce, Zoom, Box) and ability to learn new software systems
  • Strong commitment to living the Foundation’s values.
  • Flexible and willing to assist others as needed.
  • Must be available for occasional travel (~10%) to other meetings, conferences, and events.
  • Able to work at the VoLo main office in Palm Beach Gardens, FL at least 4 days a week.

Compensation and Benefits

The salary range for this position is $74,000-$87,000 per year, depending on track record, skills, and experience.
